Guided Trips - Registration and Confirmation Information

Hello! Below you will find all the necessary information for your upcoming trip, including:

To ensure you have the best experience possible, please read through the all information pertinent to your upcoming trip.

Guided Trips Information


For Overnight Trips - Important Pre-Trip Meeting Details

  • For your overnight trip you will be meeting on the Tuesday before your trip in the Student Recreation Center conference room (on the immediate right as your walk in the main entrance from the rec field side). 
  • This time is usually 6pm, however your leaders will reach out to you with specific times. Attending this meeting is mandatory to attend the trip. If you cannot attend, please let us know as soon as possible so we can make alternate arrangements for you.

Meeting Time - Day of Trip:

  • Please plan to arrive at your meeting location at least 15 minutes earlier than the posted time of the program. We will not wait for late arrivals. If you believe you are going to be late, please email your trip leaders to let them know.
  • Please note the PRT does not open until 9:30am on Saturdays and is closed on Sundays.

Meeting Location - Day of Trip:

  • For most programs, please gather at the Outdoor Recreation Center (ORC) located in the Student Recreation Center. If the building is closed, head to the back where the vans are parked. Your trip leaders will meet you there. If the building is open, please come to the front of the ORC.
  • For programs hosted at the Morgantown Adventure Outfitters (MAO), the meeting point is at 10 Walnut St, Morgantown, WV 26505. Parking is available but limited, so please plan accordingly.
  • For our Tour of the Night Sky program, please meet at the WVU Observatory at White Hall: 135 Willey St, Morgantown, WV 26506.
  • If you are unable to get to the Evansdale campus for your trip, please email us at: AWVGuidedTrips@mail.wvu.edu, we can arrange a downtown pickup in front of the Mountain Lair (facing University Avenue).

What to Wear and What to Bring:

Each trip requires various items to be prepared for the trip - Please refer below to our recommended packing lists to ensure you are well-prepared for your adventure. Please note the weather may change what to pack, so select the packing list that best reflects the weather in Morgantown at the time. Your leaders will send a different list if there were to be significant weather changes.

  • Additionally, if you are prescribed an Epipen or an inhaler, it is crucial that you bring them with you. If you have any injuries or medical conditions that might affect your ability to participate comfortably, please inform us as soon as possible. We are committed to developing a plan to keep you safe and comfortable, and we can discuss alternative programs if necessary.

Essential Eligibility Criteria


Please review our essential eligibility criteria to understand the basic physical, emotional, and social expectations we have for our participants. Failure to meet these criteria may result in removal from the program. Feel free to reach out with any questions or concerns.

Cancellation and Refunds


To check if you are eligible for a refund, please visit our guided trips page for our refund policy.

  • Refunds are only guaranteed if a cancellation is made at least 8 days from the trip date.
  • Refunds will be given on a case by case basis for those needing to cancel within 7 days of the trip.
  • Within 7 days, students can opt for a trip credit worth their registration fee.
  • For any extenuating circumstances, contact Jacob Rex at jacob.rex@mail.wvu.edu or come see us in the Student Rec Center.
