Guided Trips Policies and details
Registration Policies
If you have already participated in a certain break, extended, or international trip and register for it again the following year (for example, you participated in the 2023 Florida Spring Break Trip and want to register again for the 2024 Florida Spring Break Trip), you will automatically be placed on the waitlist. This is to ensure that spots remain open for students who have never participated in the trip.
Adventure WV reserves the right to prohibit a person's registration due to documented behavioral incidents from past AWV programs. These instances will be dealt with on a case by case basis.
What to bring
Adventure WV provides all the equipment you’ll need except for personal clothing and a water bottle. If you are prescribed any fast acting medication, such as an Epi-pen or an inhaler, please bring those with you as well.
As each trip is different, please refer to
this page for general packing list, however your guides will email out specific
packing lists if required. If you have further questions about what to bring, please
email us at
AWVGuidedTrips@mail.wvu.edu.
Where to meet
Most, but not all, trips leave from the Outdoor Recreation Center, which is located within the Student Recreation Center, see here for more details. Please read your confirmation email from WVUGo thoroughly, as some programs have an alternative start location such as the Morgantown Adventure Outfitters or the WVU Planetarium. If you plan on utilizing the PRT for transportation, please remember that the PRT is closed on Sundays. For more information about the PRT, please check their website.
Getting to the Student Recreation Center: The address for the SRC is 2001 Kittie Blakemore Drive and parking is available in Short Term Lot 4, near Evansdale Crossing, and Lot 49, near the Student Health Building. Parking is free on weekends and on weekdays after 4pm.
Getting to the Morgantown Adventure Outfitters: The address for the MAO is 10 South Walnut Street. It is located directly off the rail trail, along the Monongahela River and is a short 3 minute walk from the Walnut PRT Station. While there is a parking lot at the MAO, it is not very large and is open to the public, so parking is not guaranteed.
Refund Policy
No refunds will be given for those needing to cancel within 7 days of the trip, instead a trip credit equal to the value of the registration fee can be given on a case by case basis. Extended trips that require more planning must be canceled 30 days in advance and may include a non-refundable deposit. For extended trips, a refund may be given after this time if a replacement can be found from the trip’s wait list. For questions about refunds, or to request a refund, please email us at AWVGuidedTrips@mail.wvu.edu.
Pre-Trip Meeting(s)
Overnight trips will include a pre-trip meeting, while extended or international trips may have multiple pre-trip meetings, see details here. These meetings are mandatory for trip participants. They will include valuable information, such as appropriate clothing, necessary gear, what food to bring, the trip plan, and any necessary paperwork.
If you are registered for an overnight or extended trip and are unable to attend a pre-trip meeting due to academic commitments, please email us at AWVGuidedTrips@mail.wvu.edu so we can set up an alternate time to meet with you.
